Do you have a minimum number of licenses?
The minimum number of licenses you can initially subscribe for is dependent on the size of your company, as that indicates the amount of support required from our team to make it feasible, and is the minimum level of commitment we see work for companies of that size as Gearbelt is a collaboration tool and you need to have a sufficient number of people at a company of certain size to use it well.
The breakdown of minimums is:
- Companies with less than 10 employees → No minimum
- Companies with 10 to 99 employees → 15 Asset Licenses OR 100 Tools/Equipment Licenses minimum
- Companies with 100 to 999 employees → 30 Asset Licenses OR 300 Tools/Equipment Licenses minimum
- Companies with 1,000+ employees → 50 Asset Licenses OR 500 Tools/Equipment Licenses minimum
Is there a minimum number of licenses I can add and/or remove when subscribed?
Yes, Gearbelt licenses are sold in license blocks based on company size / employee count to make it easier for companies of all sizes to scale in logical steps.
License blocks prevent billing admin associated with minor upgrades and user changes and help customers avoid license audit surprises, while keeping system access, pricing, and support for additional assets consistent for all customers.
Below are the minimum license blocks per company size / employee count:
- Less than 10 employees = No minimum block/s
- 10 to 99 employees → Minimum block = 5 Asset Licenses OR 50 Tools/Equipment
- 100 to 999 employees → Minimum block = 10 Asset Licenses OR 75 Tools/Equipment
- 1,000+ employees → Minimum block = 20 assets OR 100 Tools/Equipment
What billing methods do you support?
On Monthly subscriptions, we support

On Annual or multi-year subscriptions, we support
- Credit / Debit Card
- Direct Debit
- Direct Debit Supported currencies: GBP, EUR, USD and AUD
- Manual Invoicing (BACS, EFT, manual bank transfer, electronic bank transfer)
If we sign on a longer term commitment, do we have to pay for multiple years upfront?
No, we have both Annual and Semi-Annual billing available on 2 year, 3 year and 5 year terms
If I upgrade after my trial finishes, do I lose my data?
No, your data will be retained after the free trial ends, so you can simply upgrade to a paid subscription and regain access to the work and records you had created/stored during the free trial period
Can I cancel a paid subscription at any time?
It depends on the subscription term you choose:
- You can cancel at any time on the monthly subscription plan, no lock-in contract
- You can not cancel at any time on an annual agreement
- There are not opt-out options available on multi-year contracts if you are unhappy after a period of time e.g opt-out after 2 years on a 3 year agreement
What happens if I want to upgrade my plan type?
You can upgrade your plan type at any time, and your account manager will help you make the change and get the most out of your new plan
What term length options are available?
When initially subscribing, the term lengths available are dependent on the size of your company, based on the level of commitment we see work for companies of that size.

- Companies with up to 9 employees → Monthly, or 1-year term
- Companies with up to 99 employees → Monthly, or 1, 2, 3 year terms
- Companies over 100 employees → Monthly, or 1, 2, 3, 5 year terms
